Instead of a call-in system, why not use a handheld digital recorder?

The sound quality is much better, the recorders are very affordable and you can use FTP to transfer files both directions.

Digital Recorder versus Call-in system

I have a friend from church who is a physical therapist and she still uses the tape recorders for dictation (about 10-15 therapists).  I would like to try to obtain their transcription account and offer them a better way to dictate.  I currently have 1 account of my own who uses an Olympus digital recorder and I also work for a company that uses a call-in system.  Does anyone know anything about a call-in system, such as obtaining it for a business? Or do you think it would be cheaper in the long run to offer the digital recorders to each of the dictating therapists in return for their dictation?  Any suggestions would be helpful.

They are probably looking for a call-in digital dictation system or
if they have one in their office, a ld service for you to call in and get the dictation.

I certainly would ask and clarify what exactly they are looking for and what they want.

Is a C-phone like Bytescribe call-in system or Philips digital transcription
My 2 stations don't have the actual phone piece, but I can make calls to the place where I get work.  I'm just curious because I want to take a test that requires C-phone, and I'm not sure if my stations will work or not.  If anyone can give me some background or information on this, I would appreciate it.  Thank you.

Doctor is using a unit that has a USB port. Need easy way for OM to copy files into a directory, preferably with the day's date. Any suggestions are appreciated.

You can hear a pin drop on this system. The sound is that clear. The system has a redundant hard drive and auditing capabilities. It has the capability to do everything but transcribe it. The better the sound file, the faster you can transcribe. I purchased a call-in system that used digital recorders, and the sound was so bad that I ordered this one the same day. I wasted $1200 on that system. Get the analog that uses a VDI SuperStation or C-phone (the C-phone is more clear). Even though the technology is not as new as the digital recorders, in this case it is better. Good luck!
Buy handheld digital recorders.

Don't go cheap on those for several reasons. One, they higher-end recorders will be easier for the docs to backup and edit their recording. Also, they are better built and the sound quality is better.


Your basic needs are recorders, playback software, foot pedal to control playback and a secure, HIPAA-compliant method of transmitting files. There is so much information out there. Your best bet is to first get educated on how digital works. Try a Google search and also search this site since there have been many requests for the same information you're seeking.


If you want someone who will outline the steps, do set up and/or training, etc., you would do well to hire a consultant.

BUT she wants me logged into the system by 9:30 a.m.  So I'm confused too.  I've decided that I may come back to her and just say I'm not going to do the tapes anymore.  I hate the tapes anyway.  The voice quality is horrible, it fades in and out.  It takes me twice as long to transcribe their tapes than the digital.


I currently type for a doctor who dictates with a digital handheld and sends the files via e-mail fo
and wanted to be able to call me with his dictations.  What would be the best and cheapest way for me to go so that he can do his dictations without the handheld unit??  I don't want to invest in a lot because he does not forget very often.  This is the first time in three months.  Thanks for any suggestions you may have.

If doc has a digital recorder what software does he need to download dictations via internet to my end? I am still trying to figure this out - Express Scribe did not work. The work I have received from him is through Media Player and I am unable to use my footpedal.

I am in the process of setting up a large group of drs with digital recorders.  They don't want to spend too much money on the units.  I was looking into Sony or Olympus.  I actually have a Sony (only cost 60.00), but it will only let you email the files.  I need to find one that can upload to an FTP site because there are 15 drs, I know it will be too much for an email acct to handle.  I have been researching and asking at stores and web sites, but people are totally clueless about their products.

www.transcriptiongear.com has a bunch of choices and they all come with the software to transfer the files.  The software can also be configured to return the documents too.

he can dictate into that as he makes his rounds and not have to have someone follow him around with a laptop (what does he want, a personal assistant?) and if he does not want to take the time to download the files to a PC, he can have one of his lackies do it for him. no big deal to push a button and talk...at least in my mind. but spoiled gets what spoiled wants...good luck.

Have to buy this, and was wondering if there is some way for the voice files to automatically be transferred to a folder. It says it doesn't come with software that does this.

If there is a software that automatically does this or if I can set up system where it does this when it recognizes unit, please advise. Thanks.

Could it be from the "source" (digital recorder) and not ....sm

Olympus Digital Recorder
Not sure about the DS-30, but we bought a DS-50 for one of my doctors. I believe it cost approx $250. Sound quality is excellent. I do not think it was too difficult of him to set it up on his end. I use the AS4000 Transcription Kit and it works very well.
Need help with choosing new digital recorder

My account is looking to buy new digital voice recorders.  What they are currently using is discontinued.


They would prefer to buy one at a local office store where they can actually see it and try it.  Price isn't too big of an issue, but ease of use definitely is and clarity a must for me.  I will encourage them to buy online if needed, though.


If anyone has any recommendations, I would really appreciate it.

I use a skutch box hook up to the phone and recorder. Make sure you're muting out room noise, a speakerphone and mute button do the trick quite nicely.
Can you help me figure out this digital recorder for my friend?

Her doc wants her to transcribe and he records on an Olympus digital voice recorder.  When I look up the specific model she said he has, it's this http://www.aaaprice.com/olympusds330.html.  My questions are this?  What does she need to be able to do this work?  She has a .wav pedal.  I don't do this type of stuff working with these particular types of voice files from a single recorder so I'm just trying to help here.  Right now he's given her JUST his little recorder to transcribe from until his software comes in (had to reorder it).  He thinks she should be able to load the software onto HER computer and be good to go.  Is that so?  So right now she either awaits the software or has to sit and transcribe from his recorder w/o any headphones or foot pedals (which will be painstaking, LOL).  Am I right?  Any thoughts are appreciated.

No, you have it all wrong. I need the hand-held recorder in order to dictate passages for a novel to be transcribed at a later date/point in time. I have the player software, but need a hand-held recorder.

Is there a reasonably priced digital recorder with a memory card/stick out there

that works well for transcription?  I've been trying to research them and find Olympus has some, but pricey.  The Sony's are less expensive, but they have proprietary software where you have to convert all your files to a format you can use, and I'm not sue I'd know how to do that.  I just need a decent digital recorder for one doc to use and I'd like a memory card/stick so I can just stop in and swap out the cards to get the dictation.  Does anyone know of one that doesn't cost hundreds?  Or have a better suggestion for how to do just one doctor's dictation digitally?   I don't need one with all the mailboxes/authors, etc., since it's only one doctor.  Thank you!


I use a little handheld digital timer from Pyrex (our oven timer doesn't work) - sm
and it's great, has two digital windows, clock on top, counter (which is what I use) on the bottem, then you can switch "modes" to a screen with 2 timers if that is what you want. Cost about $10. So I time myself more now since it helps me buckle down and I see who I am fastest at this way.....average anywhere from 12-18 minutes of dictation an hour doing this--- unfortunately I spend too much time looking up addresses but I hope my address directory will be to the point one day where I don't have to look up anymore (or at least not much). I want to start my own MT business by getting my own private accounts.  Tired of relying on others for work.  Anyway my potential clients are in another state.  What is the best system to get by which doctors could log dictations to my PC or a server?  Any ideas?  Thanks in advance for any help.  I'm sure I can land the accounts -- just need a set-up that works.

I also maintained the mother ship for that digital system.  I also constantly worked in Meditech creating macros, which we weren't given permission until we begged after waiting so long for that company to put in some canned text AND I NEVER GOT A RAISE.  It's all part of your duties.  Get over it already! 


We are just trying to forewarn you that a new system usually means outsourcing.  That's all!


Most likely they'll laugh at you for asking for a raise to do these "other duties as required."  Look at your job description and see what it says in the fine print.

work for a C-phone? I do have unlimited long distance, but it's not the regular old phone line, it's through my cable server. Compatible?
Digital you can either get a phone-in system. sm
Phone-in is more expensive, obviously. Digital handhelds are best option. You can have doctors buy or you can provide and use as a writeoff on taxes. You can use Express Scribe for most, but most of the time there is a transcription module for whatever brand of recorder you buy (Sony, Olympus, etc)
Computer/digital phone system question - SM

I currently use a Philips digital transcriber system, which I call the number and get my recordings through the phone line.  I would like to get a laptop to start doing my work and was wondering if there was some way I could move the recordings to the laptop and just work strictly with the laptop and foot pedal. 


If anyone has any information or knows if this can be done, I would appreciate it.

Digital v. call-in
I have 14 clients and I use digital. The poster above about almost everything except the cost. My first recorders Olympus DS330 (no longer made) were about $100. The replacement or upgraded Olympus DS2300 were about $200 each. I do provide all equipment at no cost. I do not print work. All work for the physicians offices are templated to print on their existing office stationary and PNs and sent in a continuous document for one-step printing on their end. Both of the above recorders are very easy to operate, basically like a hand-held tape machine. Best wishes in your decision.
Digital v. Call-in

I use both digital and call-in.  A VERY reasonably priced digital recorder is the Olympus WS-300M.  All of my doctors use it and love it.  It acts like a hard drive, so you don't have to worry about going through a proprietary software.  Drag and drop.  The digital handhelds have come down quite a bit over the years and even the best of the best (with MP3 players in them, etc) are around $200-250. 


With that said, call-in systems CAN be expensive.  Phillips has a one line machine that transfers the digital voice files from the unit (or keeps them on the expansion card, if you want) to your computer.  It runs about $1000, plus the cost of the line.  My line, incoming calls only, costs $12 a month.  The only bad thing about it is it is only ONE line and only one person can dictate at a time.  There are other options that don't cost 5 or 10K -- for example, I saw a used StraightTalk system with two lines on MTDaily.com that was, I believe, around the same price.  I've had one of those too,and they work well. 


There are options out there that are quite reasonble -- you just have to do some research.  Good luck!!

I have an internet based digital call in system with 4 ports.  It is very simple to use. The doctor calls in and then the work is on the server, you load it with Express Scribe and do your work........If you want another transcriptionist to get work, then you just put in their e-mail address along with your doctor's key and it will automatically forward to the transcriptionist, while you still have a copy of the voice file to be able to double check the work.   I bought mine through RT King.

How many clients do you have? IOW, how many doctors would be calling in at any given time? If you just need a one-line call-in unit, Philips makes a decent one that is relatively inexpensive, as call-in systems go. Only one doc can call in at a time, though. If you need something bigger than that, maybe look at Straight Talk. Sometimes you can even find those on Ebay

I use Idigital call in system from transcriptiongear.com.  Very reasonable and you can buy packages which charge less for more minutes that are used.  So, you have to estimate the first month, then can purchase different packages depending on your need.  My docs love it.

Call in dictation system

I have a digital call in dictation system that is less than 2 years old that has given me nothing but problems from day one.  It has already blown 2 speech boards and a new one has to be put in.  I purchased an insurance policy for it but the company is giving me a large hassle.  I currently have a loaner system that is also acting up.  I was wondering if anyone can recommend any Internet-based call in systems that doctors could use by calling in on an 800 number and something that is easy to use and maintenance free from my end.  I have always used a computer based call in system but it is very expensive to maintain with phone lines, etc.  I am looking to get something fast that I can have set up as a backup in case my loaner also breaks down.  I am a novice as far as Internet systems go.  Thanks for any help or information about a company that you could recommend.

My sister and I are expanding as the clinics are adding more dictators.  We were using Straight Talk, but this is limited to two dictators and one remote MT.  We need to go for more lines now.  We are trying to find the easiest system to use that is also very VERY reasonably priced as we do not have a lot of money to put out right now.  Would like suggests from anyone that has used different systems as to how many can call in, and how many can transcribe simultanesously and what the unit is called, pricing, that type of information.  We need to do this, but need to make an informed decision, rational, not just jump in. Need something that will be more useful than these were for about 1 year...now looking again...
